Osnabrück University of Applied Sciences is the largest university of applied sciences in Lower Saxony and one of the most successful institutions of its kind. With four faculties, the Institute of Music, and campuses in Osnabrück and Lingen, the university combines academic excellence with practical innovation. The Challenge

For Osnabrück University of Applied Sciences, digital transformation is about more than technology. It is about creating efficient and reliable processes while maintaining the high level of personal support students expect.

The university’s previous integration environment had become increasingly difficult to manage. Processes were not documented clearly enough, log files were hard to interpret, and independent troubleshooting was extremely limited. There was also no complete overview of interfaces and dependencies, making maintenance and ongoing development more complex, slower, and more expensive.

At the same time, the university wanted to ensure that greater automation would not affect service quality. In areas such as the student office, direct communication and personal guidance remain essential. The challenge was to automate the background processes while preserving a strong human connection.

The Solution

With Magic xpi, Osnabrück University of Applied Sciences established a central integration and automation platform connecting CampusNet, the university’s campus management system, with Identity and Access Management. Operated on premises in the university’s own data center, the solution provides a stable and secure backbone for the digital student lifecycle.

Magic xpi now orchestrates and automates the flow of information across systems, ensuring that data is processed consistently and reliably from applicant status through enrollment, degree changes, and de registration. The platform serves as a central hub for harmonizing data and managing the workflows that keep the student journey running smoothly.

Before implementation, the university carried out a structured analysis of all relevant processes. IT teams and specialist departments worked closely together to identify weak points, refine workflows, and define the optimal setup for long term success. Working together with Magic Software’s professional services team and Datenlotsen Informationssysteme GmbH, the university built a future ready integration framework based on CampusNet’s standardized DSF interface.

Today, more than 90% of the relevant system-side processes between CampusNet and Identity and Access Management are automated through Magic xpi. This high level of automation has significantly reduced manual effort and created a more transparent, manageable, and reliable integration environment.

The university’s IT Service Center can now analyze issues independently and resolve them more efficiently. Administrative teams benefit from fewer disruptions, lower error rates, and more dependable background processes. At the same time, staff can continue focusing on what matters most, providing students with personal support and guidance.

The solution also gives the university a strong foundation for the future. Thanks to Magic xpi’s flexible architecture, additional internal and external systems can be connected as needed, allowing the university to continue expanding and improving its digital ecosystem.
